Most cold emails get no reply, and usually not because the offer is bad. It is one of three things: the email never reached the inbox, the first message read like a mass mailing, or there was no follow-up.
Why a 3-email sequence
| When | Job | Length | |
|---|---|---|---|
| 1: Opener | Day 0 | Mention one specific thing about them and ask an easy question | Under 120 words |
| 2: Value follow-up | Day 3 | One concrete idea or fact that is relevant to them | Under 90 words |
| 3: Break-up | Day 7 | Short, polite close that leaves the door open | Under 60 words |
Many replies come from follow-ups, because the prospect was busy the first time. Past three emails you are nagging. A polite break-up email often earns a useful answer such as "not now, try us next quarter".
A real example
Input: "CNC-machined aluminium enclosures, MOQ 200, 15-day lead time"; prospect: "procurement manager at a German audio brand that just launched a speaker line". The generated opener:
Subject: Quick question about your new speaker line
Hi {first_name},
I noticed that your company just launched a new speaker line, which must be an exciting time for your team. As a procurement manager, are you currently exploring options for CNC-machined aluminium enclosures? I'd love to hear your thoughts.
Best,
[Your Name]Usable, but it can be sharper: name the actual product line and ask something more specific, such as "Are the enclosures for the new series made in-house or outsourced?" AI gives you the structure; the specifics are yours to add.
In our first test, email 2 claimed "we've helped similar audio brands", a client story we never provided. Once a prospect spots that, trust is gone. The tool's prompt now forbids invented clients and results, but read every line anyway.
Why cold emails land in spam
- Authentication: set up SPF, DKIM and DMARC on the sending domain. Since February 2024, Gmail and Yahoo require senders of more than 5,000 messages a day to their users to have all three, offer one-click unsubscribe and keep spam complaints under 0.3%; smaller senders need at least SPF or DKIM.
- New domains: sending volume from a fresh domain gets blocked. Start small and ramp up, and use a separate domain for outreach to protect your main one.
- Content: links, images, attachments, ALL CAPS and exclamation marks add risk; phrases like "guarantee", "act now" and "100% free" are common triggers.
- List quality: bouncing to dead addresses drags down the whole domain's reputation.
Compliance basics
- CAN-SPAM (US) requires accurate sender information, a physical postal address and a way to opt out, and bans misleading subject lines.
- Under the GDPR, B2B cold email usually relies on legitimate interest: keep it relevant to the recipient's business and honour deletion requests. Some countries, such as Germany, are stricter about commercial email, so check the rules for your target market.
- Email relevant prospects only, and do not buy lists of unknown origin.
